Working Principles

Istanbul Rumeli University Erasmus Office operates as a unit affiliated with the Rectorate. The office provides support to the institution in making agreements with foreign universities regarding student and staff mobility within the framework of the Main Action Plans offered by the European Commission and in carrying out and coordinating these agreements.

Erasmus Coordination at Istanbul Rumeli University is led by Instructor Suna Tatlı, and Assistant Instructor Hakan Ozan serves as the Deputy Coordinator at the office. The Erasmus Office organizes Erasmus+ information seminars for students and staff, providing them with information on the requirements, processes, dates, and other aspects of student and staff mobility. This information is also conveyed to those eligible for exchange mobility through various communication channels.

Applications for student and staff mobility are directly submitted to the Erasmus Office. After the applications, students need to take the English proficiency exam prepared by the Foreign Languages Unit to assess their language proficiency, while staff members need to provide the score they obtained from a language proficiency exam (national/international) to prove their language proficiency. Applications of students and staff members who meet the criteria, including language proficiency, are evaluated by the Erasmus Selection Committee (committee members: Instructor Suna Tatlı, Assistant Instructor Özlem Öztürk, and Assistant Instructor Hakan Ozan).

Applications are evaluated according to the selection criteria determined by the Turkish National Agency, and the results are communicated to the students and staff members.

The selected students are notified to the Erasmus Office of the partner universities, and the students await contact from those universities. When the partner universities contact the students, the Erasmus department coordinators at IRU assist in preparing the students' learning agreements correctly and submit them for approval by the Erasmus coordination. The department coordinators have sufficient knowledge about the preparation of learning agreements. In collaboration with the partner universities' Erasmus offices, the department coordinators inform the students about the courses they can take and the ECTS credits they need to complete, and accordingly, they prepare a learning agreement with the student's signature. The grant agreement for the selected students is prepared by the Erasmus deputy coordinators, signed and stamped in two copies.

The selected teaching staff and administrative personnel directly contact the Erasmus office of the partner university they were selected for (for teaching and training mobility) and have their teaching mobility form approved by both universities' Erasmus office coordinations. Afterward, Istanbul Rumeli University Erasmus Institutional Coordination prepares a grant agreement, which is signed mutually with the selected personnel. The teaching staff and administrative personnel handle their own visa, accommodation, and travel arrangements and obtain an invitation letter, if necessary, from the university they will visit.

All processes and detailed information regarding the Erasmus+ Program should be followed according to the Istanbul Rumeli University Erasmus+ Program Directive, which was accepted by Senate Decision No. 2021/16-06, dated June 23, 2021, and includes all the procedures and detailed information about the Erasmus+ Program.
